NeuroRecovery Center of Nashville (“NCN,” “we,” “us,” or “our”) exists to restore hope, mobility, and independence for people living with paralysis and other neurological conditions. The people who come to us, and the people who support that work, trust us with information at a genuinely vulnerable moment. We treat that trust as part of the mission, not as a legal formality.
This Privacy Policy explains what information we collect through neurorecoverycenter.org and our online forms, how we use it, who we share it with, and the choices you have. Please read it alongside our Terms of Use.
This policy covers information collected through our website, our online forms, our email and text communications, and our event and donation pages.
This policy does not cover the health information we maintain about clients enrolled in our programs. That information is governed by our Notice of Privacy Practices for Client Health Information, which is a separate document available by request at our facility. If you are a current or former client asking about your therapy records, that notice — not this one — is the one that applies.
This policy also does not cover the practices of third parties whose sites or platforms we link to, including our donation platform, event registration tools, and social media pages. Those organizations have their own privacy policies, and we encourage you to read them.

If you are located in a jurisdiction that requires us to identify a legal basis for processing your personal data, we rely on: your consent (for marketing communications and non-essential cookies); the necessity of processing to take steps at your request before entering into or performing a service relationship (for intake and program inquiries); our legitimate interests in operating a charitable organization, stewarding donors, and securing our site, where those interests are not overridden by your rights; and compliance with legal obligations.
Where we rely on consent, you may withdraw it at any time; withdrawal does not affect processing carried out before withdrawal.
Our website uses cookies and similar technologies. Cookies are small text files placed on your device that let a site remember things about your visit.
Most browsers let you refuse or delete cookies through their settings. Blocking strictly necessary cookies may prevent parts of the site — including donation and intake forms — from working.
We use website analytics to understand site traffic in aggregate. We do not sell your personal information, and we do not share it with third parties for their own advertising purposes or for cross-context behavioral advertising.
Our site responds to the Global Privacy Control (GPC) signal. If your browser or extension transmits GPC, we treat it as an opt-out of any sharing that would qualify as a “sale” or “sharing” under applicable state law. There is no single agreed standard for “Do Not Track” browser signals, so we do not respond to DNT separately; GPC covers the same ground more reliably.
We share personal information only in the circumstances below. We do not sell personal information, we do not rent or trade donor lists, and we do not exchange donor lists with other organizations.
We may also publish aggregate or de-identified information — for example, “70% of clients report increased well-being” — that cannot reasonably be used to identify you.
We take donor privacy seriously and follow the spirit of the Donor Bill of Rights.
If you have a right to a receipt or acknowledgment for tax purposes, we retain the records needed to provide it regardless of your marketing preferences, because we are legally required to.
Our intake and inquiry forms may ask about a neurological condition, injury, or mobility needs so that we can respond usefully. Please read this section carefully.
A note on HIPAA. NCN provides activity-based therapy on a self-pay and donor-funded basis and does not currently conduct the electronic billing transactions that would make it a “covered entity” under HIPAA. We nevertheless hold ourselves to HIPAA-equivalent standards for client health information as a matter of policy, and we have adopted a Notice of Privacy Practices voluntarily. Tennessee law protecting the confidentiality of health and therapy records applies to us regardless of HIPAA status.
If you give us your email address, we may send you program updates, event invitations, and fundraising communications. Every such email includes an unsubscribe link, and we honor unsubscribes promptly.
We send text messages only to people who have expressly opted in — for example, day-of logistics for the 5K. You can stop them any time by replying STOP. Message and data rates may apply. We do not use text messaging for fundraising solicitation unless you have separately agreed to receive it.
Transactional messages — donation receipts, appointment confirmations, responses to your inquiry — are not marketing and continue regardless of your marketing preferences.
We keep personal information only as long as we need it, and then dispose of it securely.
We use administrative, technical, and physical safeguards designed to protect personal information against loss, misuse, and unauthorized access. These include encryption of data in transit, access controls limiting staff access to what their role requires, managed website security and firewall monitoring, vetting of the vendors who handle personal information on our behalf, and staff training on confidentiality.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we experience a breach affecting your personal information, we will notify you and any required authorities as the law directs.

To make a request, contact us using the details at the end of this policy. We will respond within 45 days and will tell you if we need more time. We will not discriminate against you — in services, program access, or otherwise — for exercising any of these rights.
We may need to verify your identity before acting on a request, and we may decline requests that would require us to break a legal obligation, such as destroying donation records we are required to retain. An authorized agent may make a request on your behalf with written proof of authorization.
Several states have comprehensive consumer privacy laws. Most of these laws either exempt nonprofit organizations outright or apply only above revenue and data-volume thresholds that NCN does not meet, so they do not currently impose obligations on us. Tennessee’s own law — the Tennessee Information Protection Act, effective July 1, 2025 — exempts nonprofit organizations entirely.
We have chosen to extend the substantive rights those laws provide to every visitor anyway, as set out in the section above. If you are a resident of a state whose law does apply to us and you believe we have not honored a right, contact us first; you may also contact your state Attorney General.
Washington residents. Washington’s My Health My Data Act applies to entities that handle consumer health data and, unlike other state laws, has no revenue or volume threshold and does not broadly exempt nonprofits. NCN does not target services to Washington residents. If you are a Washington resident and have submitted health-related information to us, you may contact us to exercise the rights described above, including deletion.
Our website is directed to adults. We do not knowingly collect personal information from children under 13.
We recognize that neurological injury affects children, and that a parent or guardian may contact us about a minor. In that case, we collect the minor’s information from the adult and handle it under this policy. If you believe a child has provided us information directly, contact us at heather.ahler@gmail.com and we will delete it.
Our site links to other organizations — our donation platform, event registration tools, partner nonprofits, research organizations, and news coverage. We are not responsible for the privacy practices or content of those sites. Once you leave neurorecoverycenter.org, this policy no longer governs.
NCN is based in Nashville, Tennessee, and our site is operated in the United States. If you access the site or contact us from outside the U.S., your information will be transferred to, stored in, and processed in the United States, where data protection law may differ from that of your country. By using the site, you understand that this transfer occurs.
We are committed to making this website usable by people of all abilities, and we work toward conformance with WCAG 2.1 Level AA. Accessibility is not incidental to our mission; it is our mission. These Terms of Use (“Terms”) govern your access to and use of neurorecoverycenter.org and any related pages, forms, and services we operate (the “Site”), which is provided by NeuroRecovery Center of Nashville, a Tennessee nonprofit corporation (“NCN,” “we,” “us,” or “our”).
By accessing or using the Site, you agree to these Terms and to our Privacy Policy. If you do not agree, please do not use the Site.
You must be at least 18 years old, or have the involvement of a parent or legal guardian, to submit information, make a donation, or register for an event through the Site. By using the Site you represent that you meet this requirement and that the information you provide is accurate.
This is the most important provision in these Terms. Please read it.
The content on this Site — including descriptions of activity-based therapy, program information, client stories, blog posts, and any response we send to a website inquiry — is provided for general informational and educational purposes only. It is not medical advice, and it is not a substitute for evaluation, diagnosis, or treatment by a qualified healthcare provider who knows your situation.
NCN does not endorse or recommend any specific test, product, procedure, device, opinion, or provider mentioned on the Site.
Neurological recovery is individual and unpredictable. Statistics, client stories, and outcome data on this Site describe the experiences of particular people or aggregate program results. They are not a promise, prediction, or guarantee of what any individual will experience. Participation in an NCN program does not guarantee any particular improvement in strength, mobility, function, independence, or quality of life.
NCN is a nonprofit organization recognized as tax-exempt under Section 501(c)(3) of the Internal Revenue Code. Donations are processed through third-party payment platforms, and your use of those platforms is subject to their own terms and privacy policies. We do not receive or store your full payment card number.
Registration for NCN events — including our annual 5K and the Making Strides Together gala — is subject to any additional terms presented at registration.
NCN and its authorized photographers may record photographs, video, and audio at our events and at our facility. By attending, you consent to being recorded and to NCN’s use of your likeness in materials that further our mission, including our website, social media, annual reports, press coverage, and fundraising appeals, without compensation. If you prefer not to be photographed, tell event staff at check-in and we will accommodate you. Clients enrolled in our programs are recorded or featured only with a separate signed media release, which may be revoked going forward at any time.
Materials submitted through the Site for volunteer or employment purposes are used to evaluate your interest. Submitting materials does not create an offer, an employment relationship, or an obligation on our part to respond. Volunteer roles involving contact with clients are subject to screening, background check, and training requirements.
The Site and its contents — text, graphics, logos, photographs, video, and the arrangement of them — are owned by NCN or our licensors and are protected by copyright, trademark, and other laws. “NeuroRecovery Center of Nashville,” “Hope in Motion,” and our logos are our marks and may not be used without our prior written permission.
You may view, download, and print Site content for your own personal, non-commercial use, and you may share our public content and links on social media. You may not otherwise copy, republish, modify, distribute, or create derivative works from Site content, or use it for commercial purposes, without our written permission. If you submit content to the Site — a comment, a story, a photo, a testimonial — you retain ownership of it and you grant NCN a non-exclusive, royalty-free, worldwide license to use, reproduce, adapt, and display it in connection with our mission and communications. We may remove or decline to publish any submission for any reason. We are not obligated to publish, keep, or return submissions.

We do not warrant that the Site will be uninterrupted, timely, secure, or error-free, that defects will be corrected, or that the Site is free of viruses or other harmful components. We do not warrant the accuracy, completeness, or usefulness of any content, including health-related content, which may become outdated.
TO THE FULLEST EXTENT PERMITTED BY LAW, NCN AND ITS DIRECTORS, OFFICERS, EMPLOYEES, VOLUNTEERS, AND AGENTS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF DATA, GOODWILL, OR ANTICIPATED BENEFIT, ARISING OUT OF OR RELATING TO YOUR USE OF OR INABILITY TO USE THE SITE, WHETHER BASED IN CONTRACT, TORT, STATUTE, OR OTHERWISE, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
TO THE FULLEST EXTENT PERMITTED BY LAW, OUR TOTAL LIABILITY FOR ALL CLAIMS RELATING TO THE SITE WILL NOT EXCEED ONE HUNDRED DOLLARS ($100.00) OR THE AMOUNT YOU PAID US IN THE TWELVE MONTHS PRECEDING THE CLAIM, WHICHEVER IS GREATER.
Nothing in these Terms limits liability that cannot be limited under applicable law, including liability for gross negligence, willful misconduct, or personal injury caused by our negligence in the delivery of services. Some jurisdictions do not allow certain exclusions, so parts of this section may not apply to you.
These limitations apply to your use of the Site. They do not govern the delivery of therapy services, which is addressed in the separate services agreement clients sign.
You agree to indemnify and hold harmless NCN and its directors, officers, employees, volunteers, and agents from any claims, damages, losses, and reasonable attorneys’ fees arising out of your violation of these Terms, your misuse of the Site, or your infringement of any third party’s rights.
If you believe content on the Site infringes your copyright, send a notice to heather.ahler@gmail.com identifying the work, the material you believe is infringing and where it appears, your contact information, a statement of good-faith belief that the use is unauthorized, and a statement under penalty of perjury that your notice is accurate and you are authorized to act. We will investigate and remove infringing material where appropriate.
These Terms are governed by the laws of the State of Tennessee, without regard to its conflict-of-laws rules. Any dispute arising out of or relating to these Terms or the Site will be brought exclusively in the state or federal courts located in Davidson County, Tennessee, and you consent to the jurisdiction of those courts.
Before filing any claim, please contact us at heather.ahler@gmail.com and give us 30 days to resolve the matter informally. Most concerns can be settled with a conversation, and we would rather have one.
We may revise these Terms from time to time. The revised version takes effect when posted, with an updated “Last Updated” date. If the changes are material, we will provide more prominent notice. Your continued use of the Site after that date means you accept the revised Terms.
If any provision of these Terms is found unenforceable, the rest remains in effect. Our failure to enforce a provision is not a waiver of it. These Terms, together with the Privacy Policy and any additional terms presented for specific programs, events, or donations, are the entire agreement between you and NCN regarding the Site. You may not assign these Terms; we may assign them in connection with an organizational change.

NeuroRecovery Center of Nashville is committed to protecting the privacy of your health information. We are required by law to maintain the privacy of protected health information, to give you this Notice of our legal duties and privacy practices, and to follow the terms of the Notice currently in effect.
This Notice applies to the health information we create and maintain about you as a client of our programs — your intake and assessment records, functional evaluations, therapy notes, progress documentation, and related correspondence. We refer to this as “protected health information,” or PHI.
This Notice does not cover information you submit through our website before enrolling, which is governed by our Website Privacy Policy.

You may revoke an authorization in writing at any time. Revocation stops future use and disclosure but does not undo what has already been done in reliance on it.
If we contact you for fundraising, you have the right to opt out of receiving further fundraising communications, and we will tell you clearly how. Opting out will never affect your treatment or your access to our programs.

We are required to maintain the privacy of your health information, to give you notice of our legal duties and privacy practices, to follow the terms of the Notice currently in effect, and to notify you if a breach occurs. We will not use or disclose your information other than as described here without your written authorization.

If you believe your privacy rights have been violated, please contact our Privacy Officer. We take these concerns seriously and want the chance to make it right.
